Job Description: The Operations Manager is responsible for the smooth operations of the UNA office and team. This position is responsible for hiring and supervising designated staff and interns and assisting the Chief Executive Officer with human resource functions, training, timesheets, etc. This position manages office functions including IT, supplies, vendor and consultant relations and facility management. Additionally the Operations Manager assists Chief Executive Officer with board of director support. (Approximately 15% of the position).
The Operations Manager manages the Membership Program (Approximately 75% of the position). They are the first point of contact for UNA members and the public and is responsible for all administrative functions related to membership promotion, recruitment, retention, renewal, preparation of membership reports and maintenance of the membership database. This position is also responsible for developing and maintaining attractive and relevant member benefits, and promoting those to UNA members and nonmembers. On a daily basis, the Operations Manager will communicate in person or electronically with the UNA members and potential members providing technical assistance and assistance accessing member benefits. As a function of membership the Operations Manager will promote, recruit and implement Business Marketplace to businesses that seek the nonprofit market, incorporating business members into membership activities like sponsoring socials, conference exhibitors, etc.

The Operations Manager will also assist the Chief Executive Officer with UNA’s Public Policy Program (Approximately 10% of the position). This includes recruiting and supervising the Public Policy Intern, working with the Public Policy Committee, communicating policy work with members, working on the Economic Report to the Governor, and legislative policy work. 

Responsibilities

Manage UNA Member Benefit Program
• Stay abreast of member needs and desires through surveys and personal communications
• Develop and maintain member benefit guidelines and protocols for recruiting and offering benefits
• Recruit, evaluate, implement, promote, and review UNA Member Benefits, maintain preferred vendor relationships
• Maintain Nonprofit Resource Library and technical assistance files
• Direct Standards of Ethics program 
• Manage monthly member newsletter and all membership pages on UNA website
• Welcome new members, communicate privileges of membership 

Manage UNA Membership Growth and Recruitment
• Develop and maintain lists of new prospects
• Develop and maintain an appeal strategy that includes mailings/emails, website and optimizes other UNA efforts of contact with nonmembers (surveys, conference, breakfast, etc.)
• Respond to electronic or phone requests for membership information
• Market value of membership via mailing, social media, and personal contacts

Manage UNA Membership Retention Program 
• Welcomes new members, communicate privileges of membership using all available tools
• Manages renewal and lapsed member notification program
• Process membership dues, fees and contributions according to UNA policy.
• Respond promptly to member inquires and provide exemplary customer service
• Communicate regularly with members to enhance relationship
• Manage member recognition program
• Manage member market research
• Compiles and maintain accurate membership records, prepare and circulate regular membership progress reports

Manage UNA Business Marketplace
• Recruit and retain business members, develop and maintain relationships with businesses offering services relevant to Utah’s nonprofit sector
• Prepare print and website recruiting and welcoming materials
• Welcome new members, communicate privileges of membership and prepare Business Marketplace listings
• Process fees, maintain accurate records and prepare reports
• Provide excellent customer service and involve business members in UNA events and activities

Participate in Public Policy Program
• Anchor the Board’s public policy committee – organize meetings and work flow
• Recruit and supervise Public Policy Intern
• Oversee research and writing of Economic Report to the Governor
• Assist Chief Executive Officer with legislative policy work
• Manage public policy communications with members, via newsletter and website, calls to action

Function as part of the Utah Nonprofits Association team 
• Remain current with UNA policies and procedures 
• Offer ideas for improvement or change in all operational areas
• Attend UNA events on and off site
• Attend and participate in UNA staff and tactical meetings
• Become cross trained regarding professional development program to enable team coverage

Manage Office Operations
• Hire and supervise appropriate staff, volunteers and interns. Orient and train staff/interns as needed
• Assist Chief Executive Officer with human resource functions as needed
• Retrieve and disseminate mail each day according to UNA policy
• Execute financial reporting tasks: prepare check requests, make bank deposits and reporting paperwork, reconcile credit card reports, support Chief Executive Officer and board with banking management
• Maintain and order office supplies and equipment
• Update UNA website as needed; liaise with website support
• Coordination of information technology; liaise with tech support
• Liaison with building management and maintenance
• Coordination of equipment maintenance and repair
• Maintain CiviCRM database; liaise with tech support on updates and enhancements
• Manage program/project budgets
• Be able to work on a small team and share office coverage
• Work with UNA staff to strategically align organizational programs and membership offerings
• Other duties as assigned

Special Requirements: With or without accommodations, the ability to work in a standard office environment; ability to sit, stand, walk, kneel, crouch, stoop, squat, and lift 50 pounds.

Qualifications and Skills Requested

• Demonstrated commitment to nonprofit sector with 7+ years’ experience
• Experience with employee supervision, basic human resources protocols
• Experience with office, facilities and/or program management
• Experience with database management, marketing and sales
• Ability to follow through and take initiative
• Visionary perspective
• Attention to detail
• Excellent computer and technical skills (Microsoft programs required, database and web design a plus) Ability to learn new software quickly, a comfort with technology
• Superior interpersonal, organizational, and communication skills

• Ability to travel to offsite events
• Must pass a background check

Hours 

This position is full time exempt position (40 hours per week) between the hours of 9:00 a.m. and 5:00 p.m. Monday through Friday. The person in this position is expected to attend UNA after-hours off-site events with an adjustment to the regular work schedule. 

Salary and Benefits

$39,000 - $48,000, paid vacation and holidays, matched retirement plan, health insurance (50% org contribution for the employee)
